Terms & Conditions

These terms apply to all training booked through Lampie, whether on-site, online, or via webinar. Please read them before booking.

Plain-language summary (not a substitute for the full terms below): booking training means accepting these terms. A deposit secures your slot and is non-refundable if you cancel. We're not responsible for damage to your own equipment, for feeding your attendees, or for their notebooks and pens. If we need to travel or fly to you, those costs are on top of the training fee. Online sessions can be affected by technical issues outside our control.

1. Acceptance of Terms

By booking a training session, webinar, or any other service through Lampie ("we," "us," "the trainer"), the client ("you," "the client") agrees to be bound by these Terms & Conditions in full. If you are booking on behalf of an organisation (a church, school, production company, or other entity), you confirm that you have the authority to bind that organisation to these terms.

2. Bookings & Quotes

All training is quoted individually based on the information provided at the time of booking (team size, venue, equipment, training type, and location). Quotes are valid for 7 days from the date issued, after which prices may be revised.

A booking is only confirmed once a deposit has been received and a training date has been agreed in writing (email or written confirmation). Verbal agreements alone do not constitute a confirmed booking.

3. Deposits & Payment

  • A non-refundable deposit of 50% of the total quoted fee is required to secure a booking.
  • The remaining balance is due 2 days before the training session commences.
  • Once paid, the deposit is non-refundable under any circumstances, including client cancellation, except where Lampie is the party cancelling (see Section 4).
  • Failure to pay the outstanding balance by the agreed date may result in the session being postponed or cancelled, with the deposit retained.

4. Cancellations & Rescheduling

4.1 Cancellation by the client

  • Cancellations made more than 14 days before the scheduled session: deposit is forfeited, but no further fees are payable.
  • Cancellations made within 7 days of the scheduled session: the full training fee remains payable, less any amount already paid.
  • A single reschedule (to a new date, subject to availability) may be permitted at no extra charge if requested more than 15 days in advance. Further reschedules may incur an administration fee.
  • No-shows on the day of training (client or attendees fail to attend without prior notice) are treated as a same-day cancellation, and the full fee is payable.

4.2 Cancellation by Lampie

If Lampie needs to cancel or postpone a confirmed session (illness, emergency, or unforeseen circumstances), the client will be offered a full refund of all amounts paid, including the deposit, or the option to reschedule to a mutually convenient date at no additional cost.

5. Liability & Equipment

Lampie provides training and guidance on the operation of lighting equipment, consoles, and related systems. The client acknowledges and agrees to the following:

  • Lampie is not liable for any damage to the client's equipment, fixtures, consoles, cabling, venue property, or any other property arising from training activities, whether caused by the trainer, an attendee, or a pre-existing fault in the equipment.
  • Lampie is not liable for any pre-existing faults, defects, or unsafe conditions in the client's electrical systems, rigging, or equipment, whether or not such faults are identified during training.
  • It is the client's responsibility to ensure all equipment used during training is safe, in good working order, properly installed (including rigging and electrical work by a qualified professional where required), and compliant with any applicable safety regulations.
  • Training is provided on an "as-is" basis using the client's own equipment. Lampie makes no warranty as to the suitability, condition, or safety of that equipment.
  • To the maximum extent permitted by law, Lampie's total liability arising from or in connection with any training session is limited to the total fees paid by the client for that session.
  • The client agrees to indemnify and hold Lampie harmless against any claims, losses, damages, or costs arising from the client's or its attendees' use of equipment, venue, or information provided during or after training.

Nothing in this section is intended to exclude liability for death, personal injury, or fraud caused by gross negligence or wilful misconduct, to the extent such exclusion is not permitted by South African law.

6. Venue & Requirements for On-Site Training

To run an effective session, the client must ensure the following are available at the training venue, at the client's cost, unless otherwise agreed in writing:

  • A safe, accessible power socket or power strip near the training area for the trainer's laptop and equipment.
  • A projector, large screen, or television suitable for group viewing whenever training is provided to more than two (2) attendees.
  • Drinking water and basic refreshments available to the trainer throughout the session.
  • A suitable, safe working space with adequate lighting and access to the equipment being trained on.

If any of the above cannot be provided, please notify Lampie in advance so alternative arrangements can be discussed — failure to provide these may affect the quality or length of the session, at no fault of the trainer.

7. Meals, Refreshments & Attendee Materials

  • Lampie is not responsible for providing lunch, meals, or catering for attendees. If a session runs over a mealtime, this is the client's responsibility to arrange, if desired.
  • Lampie is not responsible for providing note-taking materials for attendees, including but not limited to pens, notepads, or tablets. Attendees wishing to take notes should bring their own.
  • Basic refreshments (drinking water at minimum) for the trainer should be made available by the client, as noted in Section 6.

8. Travel & Accommodation

  • Training venues located beyond 10km of Lampie's base in Centurion, Gauteng, will incur a travel fee, calculated at R7 per km, quoted in advance as part of the booking.
  • Where the training location requires air travel, all flights and accommodation will be booked by Lampie, at the client's cost, and at the trainer's discretion regarding airline, routing, and accommodation standard, unless otherwise agreed in writing prior to booking.
  • Estimated travel and accommodation costs will be included in the quote wherever possible; however, the client agrees to cover the actual cost of flights/accommodation if this differs from the estimate due to booking timing or availability.
  • Travel time may be included in the total session cost where significant travel is required — this will be communicated at the quote stage.

9. Online Training & Webinars

  • Online training is delivered via a video conferencing platform of Lampie's choosing, unless otherwise agreed.
  • Lampie is not liable for technical difficulties, interruptions, or session quality issues arising from the client's internet connection, hardware, software, or the video platform itself.
  • Where technical difficulties substantially prevent a session from proceeding, Lampie will make reasonable efforts to reschedule the affected portion of the session at no additional charge; however, this is not guaranteed if the disruption is caused by factors outside Lampie's control.
  • It is the client's responsibility to test their internet connection, device, camera, and microphone ahead of the scheduled session.

10. Client Responsibilities (General)

  • Providing a safe, legally compliant venue and equipment for training to take place.
  • Ensuring attendees behave appropriately and follow reasonable safety instructions given by the trainer.
  • Providing accurate information at the time of booking (team size, venue details, equipment type) so that an accurate quote and session plan can be prepared.
  • Where minors are in attendance, ensuring appropriate adult supervision is present throughout the session; Lampie's role is limited to training delivery, not supervision or duty of care over attendees.

11. Training Materials & Intellectual Property

Any materials, guides, slides, or resources provided during training remain the intellectual property of Lampie. They are provided for the client's internal use only and may not be resold, redistributed, or used to deliver training to third parties without prior written consent.

12. Force Majeure

Neither party will be held liable for any failure or delay in performance caused by circumstances beyond their reasonable control, including but not limited to natural disasters, load shedding, civil unrest, extreme weather, or government action. Where such an event affects a scheduled session, the parties will agree on a reasonable rescheduled date.

13. Changes to These Terms

Lampie may update these Terms & Conditions from time to time. The version in effect at the time a booking is confirmed will apply to that booking. Continued use of Lampie's services after changes are published constitutes acceptance of the updated terms.

14. Governing Law

These terms are governed by the laws of the Republic of South Africa. Any disputes arising from these terms or from training provided will be subject to the jurisdiction of the South African courts.
